This guide will give a step by step guide for taking attendance when Ion is in hybrid mode. If you have questions, please contact the Eighth Period Office.

As I'm sure you're well aware, we go back to school in a hybrid manner on March 2nd. Ion has undergone significant changes in preparation for this, but the only thing that changed for teachers and other eighth-period sponsors was taking attendance for eighth-period activities. We're trying to make it as easy as possible for teachers to adjust, so we've written a step-by-step guide and explained what students will see on their end. Starting the week of February 21st, Ion might look a little different. During each hybrid eighth-period block, you will see two blocks in Ion, one labeled (In-Person) and the other labeled (Virtual). Additionally, you will see a warning about taking attendance for both sessions at the top of your attendance taking screen. You don't need to worry about taking attendance twice until hybrid school actually starts on March 2nd. Step-by-step details are below. Attendance Taking

In this example, we will be taking attendance for the Sysadmins activity on March 3rd (A block). As you can see, this sponsor is sponsoring Sysadmins both (In-Person) and (Virtual) during A block.

1) Navigate to the "Eighth" tab of Ion as usual.

2) Select the (A (In-Person)) block on March 3rd.

3) Select View Roster or Take Attendance on the activity that you are sponsoring. Depending on what time of day you open this page, either View Roster or Take Attendance could show.

4) Take attendance as usual. For (In-Person), these students should be physically in your classroom.

5) Navigate back to the main attendance page by clicking the Eighth tab in the sidebar.

6) This time, choose the (A (Virtual)) block on March 3rd from the dropdown.

7) Select View Roster or Take Attendance on the activity that you are sponsoring. Depending on what time of day you open this page, either View Roster or Take Attendance could show.

8) Take attendance as usual. For (Virtual)activities, these students should be online in your Google Meet or BbCU room.

You don't need to worry about doing any of this until hybrid blocks start the week of March 2nd.

Student View

During each hybrid block (starting in March), Ion actually has two blocks scheduled, one labeled (In-Person) and the other labeled (Virtual). You will see both of these listed on your dashboard. All of your students who are going to be in the building that day will be signed up for the (In-Person) block and the ones who are online will be signed up for the (Virtual) block.

You need to take attendance for both.

The students themselves will only see the block that they are eligible to sign up for. For instance, if I, as a student, am attending school in person on Tuesday/Wednesday, I will only be able to see and sign up for (In-Person) blocks on Wednesday and (Virtual) blocks on Friday.

So what do I need to do differently now?

The only thing that you need to do is remember to take attendance for both (In-Person) and (Virtual) during each block.

What document should I direct students with questions to?

We have a separate guide for students.

Do I need to heed the "take attendance for both" warning when we are all still virtual in February?

No, this warning doesn't apply until we start going back hybrid in March.

What if I am only sponsoring an (In-Person) OR a (Virtual) block?

If you are only sponsoring one of the two for whatever reason (probably something to do with overflow), you only need to take attendance for that one. You will be able to see if you are sponsoring something during a block in the normal way on your dashboard.
